Job Description - External Operations Assistant - Concourse Job Title: Operations Assistant Department: EngineeringReports to: Chief Engineer EEO Category: Administrative FLSA: Non-Exempt Job Summary: This is a front line position that assists the Engineering team and Chief Engineer.

The Operations Assistant will also work directly with contractors and vendors daily.

This individual must have strong customer service skills, and must be very detail oriented.

Responsibilities include, but are not limited to, managing calendars, scheduling appointments, coordinating meetings and events, document and report production, contractor and vendor follow up, filing, and completion of various projects with minimal supervision.

Must be competent and confident with a high level customer service.

Responsibilities: · Coordinates scheduling for contractors per engineering staff and Chief Engineers request · Responsible for developing reports for Chief Engineer · Enters work orders into Angus per Chief Engineers request · Communicates daily with outside contractors and vendors · Follows up on engineering requests · Schedules preventive maintenance · Manages parking and building access system (inputting/changing data) · Coordinates and schedules meetings · Follows up to assure customer satisfaction and timely response· Completes after-hours security/access and work request forms· Assists Chief Engineer with calendar, appointments, work requests, and projects with minimal supervision · Maintains positive tenant relations by developing a good rapport with tenants · Oversees and signs contractor and vendor invoices· Responsible for inventory and replenishment of office supplies · Orders engineering uniforms as requested· Performs clerical tasks for staff as needed· Maintains the contractor/vendor list· Maintains insurance files for coverage required contractors and vendors· Filing Required Knowledge, Skills and Abilities: Must work well with others and interact positively with vendors and contractors Must possess strong communication skills Detail-oriented and well organized Must have the ability to manage time and multiple projects efficiently and achieve required results Education and Experience: Minimum of three years administrative experience is required Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook, Access) is required High school diploma is required Real estate experience is preferred Language Skills: High proficiency in written and spoken English is required Reasoning Ability: Must be able to define problems, collect data, establish facts, and draw valid conclusions Physical Demands: Reasonable accommodation may be made to enable individuals with disabilities to perform the essential functions Individual is regularly required to stand, walk, use hands and fingers, handle objects, and feel, reach with hands and arms, talk, climb and balance Individual is occasionally required to sit, stoop, kneel, and crouch Individual may need to lift up to 20 pounds Specific vision abilities required by this job include color vision
