Job Description Reporting to the Director of Project Management, this position is responsible for administering all general office functions for the Project Management department.
Responsibilities: · Providing project management support by coordinating status reports, presentations and timelines as appropriate.
· · Coordinating travel arrangements for PM department · Coordinating calendars for PMdepartment, using Outlook.
· Coordinating meetings and supplies relating to meetings, including meals when necessary.
· Booking and setting up A/V requirements, including LiveMeeting, video and audio teleconferences as needed.
· Acting as compliance coordinator for PM and finance departments, per quality training procedures.
· Formatting, preparing and proofreading documents, including memos, reports and other documents.
Using SAP to submit purchase requisitions,expense reports, and travel requisitions.
· Providing reception relief for breaks and lunches.
· Proactively supporting administrative duties for the site, including supporting corporate meetings and events and other coverage as needed.
· May determine methods and procedures on new assignments and may provide guidance to other nonexempt personnel.
Required Skills · High school diploma or equivalent, preferably with some college coursework.
· 8+ years related experience.
· Specialized administrative support experience.
· Familiarity with use of computers and strong skills in word processing (Microsoft Word), Excel and Outlook.
· Experience with project management software is a plus.
· Ability to exercise discretion regarding confidential information related to the company.
· Ability to use automated office equipment.
· Ability to read difficult instructions and maintain written records.
· Strong verbal/written/interpersonal communication skills.
· Arithmetic skills.
· Detail-orientation and the ability to prioritize workload.
· Good attendance.
