Office Assistant II Job in New York , New York US
Job Description: Provides entry level support to a manager or supervisor as related to the day to day operations of the office or department.
Duties include reception, word processing of necessary documents and forms, data entry, record and file maintenance, mail service, photocopying and other duties as required.
To support the MedPeds Program as per the RRC citation.
Duties: -Clerkship *Help coordinate clerkship rotation.
Make sure all sites have required documentation for students to rotate with them.
*Assist with preparation of orientation and midrotation documents and binders for clerkship.
*Assist with narrative compilation for clerkship students.
*Proctor shelf exam as needed.
*Help with evaluation collection.
-Subinternship *Assist with coordinating subinternship experience and putting together student folders.
*Work with E-Value for clerkship and subinternship and with WebEd for the Pediatric clerkship and subinternship and resident and fellows courses.
*Assist with ASM: scheduling Pediatric experience sites for 2nd year medical students.
*Help coordinate clinical skills night for Pediatric Interest Group.
*Assist with booking of conference rooms.
*Assist Chief Residents with ambulatory schedule.
*Control booking of P3 and P8 conference rooms.
*Assist with Grand Rounds documentation.
*Responsible for entering catering requests for various events and classes throughout the year.
*Help keep resident files up to date - print out New Innovations information and file.
*Oversee the delivery of breakfast, lunch during interview season as well during the rest of the year for House Staff Forum and Intern Support Group *Greet all applicants upon their arrival at 7:30 am on interview days *Assist with interview season: assemble informational packets, print out and distribute candidate files to interviewers and collect files and make sure they are complete.
Create new files for incoming interns.
*Troubleshoot office equipment issues.
*Assist with meeting scheduling.
*Familiarization of ERAS as back-up *Assist in ordering office supplies, initiating petty chase vouchers, etc. *Set up audio visual equipment as needed.
*Pick up mail from mailroom and distribute.
*Distribute paychecks.
*Take minutes for residency and clerkship meetings.
*Answer phones, do faxing, filing, and assist with Xeroxing.
1. Answers telephone, screens callers, relays messages and greets visitors.
2. Opens, sorts and prioritizes mail.
Picks up and delivers materials as required.
3. Schedules and maintains calendar for meetings and/or appointments.
4. Maintains records through filing, retrieval, retention, storage, coding, updating and destruction.
5. Types and proofreads routine correspondence and documents and performs data entry as needed.
6. Performs other related duties as necessary.

Job Qualifications: HS Diploma 3 years general office experience
