CareersUSA, a leader in the staffing industry with 29 years of experience, has another job opportunity for you: Our client is seeking a Mail Services Coordinator in Baltimore, MD.Position Summary: The Mail Services Coordinator receives and checks all incoming mail and freight, opens, sorts and routes mail.
Processes and distributes daily mail reports.
Prepares and processes all bulk mail and related computer support services for our client.
Audits output data, identifies and resolves incoming and outgoing mail related errors.
The incumbent is expected to perform a wide variety of duties and assignments to assist related computer operation at client site.The incumbent relies on instructions and pre-established guidelines to perform the functions of the position.The incumbent must work in such a way as to anticipate and meet scheduled deadlines; maintain accurate and up-to-date records; prepare accurate, well-organized and presentable reports; handle multiple tasks simultaneously, maintain a professional manner and appearance.The incumbent is to provide quality customer services for our client.
Essential Duties and Responsibilities: Opens, sorts and distributes incoming mail/packages/delivers.
Provide on-going support to the Director of Information and Business Services.
Provide backup support service to the Reprographics Technician and the Receptionist.
Process office supply requests on Tuesday and Thursday weekly.
Distribute and collect incoming mail and process outgoing mail for company.
Expert at use and maintenance of office equipment.
Able to troubleshoot office machinery problems.Can maintain resource materials, supplies, and equipment to ensure smooth office operation.
Experience developing communication processes and procedures to facilitate the exchange of information among internal and external groups.
Sign for all incoming freight from vendors/customers; ensure that the correct number of packages are received and distributed to appropriate staff/departments.
Process daily mail reports and distribute reports as scheduled.
Maintain data for services provided in the appropriate database.
Install SmartMailer updates as required.
Meet all expected deadline dates for mailing requests as scheduled.
Generate reports, mailing lists, and labels as assigned or scheduled.
Contribute to the goal of creating an inclusive organization by working harmoniously with diverse staff and volunteer personnel and ensuring that all systems, practices and procedures are inclusive.
Perform other duties as needed/requested.
Requirements: High school diploma requiredTwo years or more experience with Bulk Mail ServicesTwo years or more customer service experienceMust be able to convert Microsoft Word documents to PDF FilesMust have Intermediate to Advanced knowledge of Microsoft AccessMust have Internediate knowledge of Microsoft ExcelKnowledge of US Postal Service guidelines related to mail services a plusExhibits meticulous attention to detail.
