Position Description: Executive Director I. Job Title: Executive Director (ED) A highly reputable local non profit organization seeks a dynamic and energetic professional to lead the organization in the consistent fulfillment of its mission and vision. Reporting to the Board of Directors, the Executive Director will oversee and drive all of the organization’s endeavors through continuous fundraising, marketing, and management. II. Job Summary The ED will be instrumental in managing, consolidating and building day-to-day operational effectiveness; friend and fund-raising capacity; community, programs and projects development. Under the direction of the board, the Executive Director will provide leadership in the continued growth and sustainability of the organization. IV. Accountability: The ED Reports directly to the Board President and is accountable to the Board of Directors. V. Essential Job Functions/ Responsibilities 1. Day-to-Day Operations. The ED will be a day-to-day, detail-oriented and hands-on administrator who ensures the efficient and effective functioning of the busy office. He/she will supervise, train and have oversight for the two staff members, an Office Administrator and a Volunteer/ Community Enrichment Coordinator. Specifically, day-to-day operations will include: i. Operations. Working with the staff, manage with a hands-on orientation all matters related to the day-to-day operations:· Office management: Oversee administrative functions, ensuring smooth daily operations by working with the Office Administrator and Volunteer/ Community Enrichment Coordinator; provide management oversight and share operational duties, if and when appropriate, that are assigned to staff member. See Job Description of the Office Administrator and Volunteer/ Community Enrichment Coordinator for their assigned duties.· Information technology. Working with the Office Administrator, ensure the ongoing maintenance and updating of information systems and infrastructure, including hardware, software and other office equipment.· Office procurement, monitoring, and management. Develop and ensure a cost-effective policy in procurement; track, manage and be accountable for expenditures.· Oversee insurance, risk management and legal issues. Direct all matters with legal and risk implications to the Board President and seek legal counsel from the Board.· Organizational reporting and monitoring. Develop a mutually agreed upon one-year work plan with the Board President, deliver verbal and written progress reports at every Board meeting, track qualitative and quantitative organizational performance on a quarterly basis.· Board of Directors. Act as staff liaison to relevant Board committees, meet with Board President regularly to update operational progress and to trouble shoot. ii. Financial Management and Oversight. Working with the Board financial Committee, Audit Committee, bookkeeper and CPA firm, the ED will manage and oversee all financial and business planning activities, including: · Financial Operations. Direct and administer all financial planning/ plan functions.· Income/ Expense Tracking. Ensure and up to the minute expense and income tracking system and policy is in place and operational.· Financial Analysis. Review and analyze financial reports.· Budgeting. Work with the Finance Committee to develop and support organizational budgeting process.· Performance Metrics Oversight. Oversee and monitor organizational performance metrics as stated in annual budget and ED work plan.· Financial Reporting. Ensure that accurate and relevant financial data is presented to the Finance Committee, Audit Committee, and tax preparer in a timely manner. ii. Human Resources. Working with the Personnel Committee, manage and oversee the human resource functional needs: · Job Profile. Update job profile for staff positions.· Personnel File. Develop and maintain personnel file for the staff positions.· Staff Training and Development. Provide professional, on the job training and development for staff.· Personnel Policies. Work with Personnel Committee to develop recruitment, hiring, compensation, benefits, retention, dismissal, grievances, legal compliance, et al. policies.· Personnel Budgeting. Ensure that the human resource function is properly resourced and part of the Financial/ Strategic Planning.· Staff Meetings. Convene at least once a week staff meetings to provide planning and implementation support and oversight in addition to help trouble shoot with staff.· Staff Liaison to Board. Act as staff liaison to relevant Board committees. 2. Friend and Fund Raising. Friend and fund raising is a core responsibility of the ED and will occupy at least half of the ED’s time. Working with the Board President and Institutional Advancement Committee (IAC) and other committees as appropriate, the ED is responsible for the following: · Fundraising Work Plan. Be part of the planning team with the Board President and Institutional Advancement Committee (IAC) to frame, define, strategize and develop the annual friend and fundraising work plan. The ED is responsible for ensuring that each of ’ programs and projects and its general operations are appropriately funded each year. See under Financial Management and Oversight for additional details.· Fundraising Plan Implementation and Fulfillment. Be a hands-on implementer of the friend and fund raising plan. These include but are not limited to identifying resource requirements, researching funding sources, establishing strategies and determining funder contact protocol with the Board President and IAC. The ED will provide leadership and oversight for all matters related to scheduling and logistics, fundraising/ marketing collateral materials, and fundraising record keeping and documentation.· Grants Writing. Be responsible for research and identification of foundation funding opportunities, determine with Board President and IAC best fit between programs/projects and funder mission, contact and work with funder as required, develop and write all grant proposal material, upon IAC approval, submit, monitor and follow up, track success rate annually.· Membership and Annual Appeal. Work with the Office Administrator to ensure Membership database is updated and accurate, work with Board President and IAC and/or Membership Committee to develop the theme, assist in the copy writing and design of the Annual Appeal packet, and oversee staff and provide hands-on support as needed din the production, mailing, tracking and fulfillment of the campaign. 3. Marketing and Public Relations. The ED will provide leadership and oversight in all matters related to marketing and public relations: · Delegation of day-to-day marketing communications and public relations to the office staff will be determined by the ED; the “public face” will be a shared responbility where a protocol will be developed to determine when it would be appropriate for the Board President, the ED or the staff to represent and to which external constituent. 4. Board of Governance. Assist and support Board President and Nominating Committee in Board development and recruitment: · Work with Board President to plan and prepare Board meeting agendas and meeting material; attend and present verbal and written ED reports at Board meetings; serve in an ex officio capacity at Board and Committee meetings; provide oversight to Office Administrator who is responsible for scheduling, notification and logistics of Board and Committee meetings. Responsible for ensuring Board members are knowledgeable about ’ work and that Board members are actively engaged in at least one of the Committees.· Work with the Board President and Nominating Committee to identify Board talent needs/ gaps, assist Board President and Nominating Committee to research, identify and vet potential Board recruits; plan, produce handout materials and assist in all logistics of Board orientation and development.· Support the Board President and the Board in developing a Strategic Plan; in conjunction with the Strategic Plan, develop the annual ED work plan the meet ’ strategic goals and objectives for the year.· Ensure the ED annual review is performed in a timely manner by Board President; provide timely annual staff performance review information to the Personnel Committee.· Introduce an annual Board self-assessment.· Schedule weekly meetings with the Board President to track implemtation progress against ED work plan, trouble shoot, and strategize follow up steps. VI. THE IDEAL CANDIDATE 1. Experience · Minimum of a BA, ideally with an MBA. · Ten or more years experience in a management position with increasing responsibilities. Strong operational, management, friend and fundraising and event planning experience with demonstrable and quantifiable results. 2. Skills · Strong leadership skills, ability to work collaboratively with the Board to carry out the Board’s vision within a limited budget environment.· Have personal credibility to win the professional respect and trust of the Board, staff, volunteers, community partners and the general public; have the ability to sustain, train, and motivate the staff and volunteers.· A hands-on, detail oriented operations manager; highly comfortable in a multi-tasking role; demonstrate familiarity with and able to oversee the full range of Hit for Kids’ functions, both administrative and programmatic.· History of success in all aspects of friend and fundraising to include success in researching and targeting foundations, corporations, and individual donors as well as the ability to produce winning grants writing.· Strong understanding of programs and projects, able to provide direct program/ project support when needed.· Ability to manage and monitor financial management systems, able to ensure and adapt ’ limited resources to support operations and anticipate contingencies.· Excellent collaborative, partnership and advocacy skills. Understand strategic judgment and basic knowledge of advocacy and organizing. Be a community team player with collaborators and partners.· Outstanding written and verbal communications skills; able to articulate mission, vision, and programs to stakeholders and to the public.
