THE JOB OPPORTUNITY: Executive Assistant to the Chairman, CEO and President of the Kaufman Financial Group THE JOB SUMMARY: The Executive Assistant to the CEO and Senior Managing Partner of a number of privately held enterprises including a midsize law firm and a number of insurance related companies under the Kaufman Financial Group umbrella.
The successful candidate will be responsible for: conserving the CEO’s time and focus; promoting the corporate image by representing the CEO internally and externally; and ensuring appropriate communication between the CEO, key internal and external executives, field operations, and employees.
The Executive Assistant position requires demonstrated poise, tact and diplomacy.
The successful candidate must be motivated and understand the critical value of being trustworthy.
He/she must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.
The ability to maintain confidentiality for both the CEO and the company as a whole is critical.
The position requires some flexibility with regard to time/hours per week.
WE EXPECT THE SUCCESSFUL CANDIDATE TO: • Provide critical and daily support to the CEO. • Assess the urgency and importance of situations and take the appropriate action to determine the necessary level of CEO and/or other executive involvement.
• Compose correspondence on both routine and complex matters for the CEO. • Schedule and organize complex activities such as meetings, travel requirements, and department activities for all members of the senior management team on an as required basis.
• Summarize content of incoming material and data and brief the CEO regarding important issues or conflicts as they arise.
• Assure that expense reports are accurately and efficiently completed for the CEO. • Request information and actions on behalf of the CEO and ensure that these requests are fulfilled efficiently and effectively.
• Provide support for Board of Directors meetings including: transcribing meeting minutes, executing action steps, and coordinating meeting requirements.
• Support the CEO in holding the Executive Team members accountable to timelines and commitments.
• Manage the calendar, calls, mail and meetings for the CEO. • Establish appointment priorities and schedule appointments as necessary and appropriate.
• Schedule Board Room requests.
• Coordinate travel/meeting requirements.
• Provide assistance to the field Senior Vice Presidents on an as needed basis.
• Handle regular support duties as required.
• Assume other duties as assigned by the CEO. QUALIFICATIONS: • Minimal requirement of Associate’s Degree in secretarial science or office administration.
College degree preferred.
• Experience in a legal practice environment or professional services environment highly preferred.
• 4-7 years of experience supporting a top executive required.
• Demonstrated strong analytic skills.
• Excellent time management and organizational skills.
• Proven written and verbal communication skills.
• Proficiency in Microsoft Office, PowerPoint, Outlook, Excel.
