For quick consideration apply here Executive Assistant, VP, Advanced Development Summary Description The Executive Assistant will provide administrative support of a non-routine and non-repetitive nature to Vice President of Engineering in daily operations of the organization.

Responsible for pro-active project management of critical organizational processes related to budget, headcount allocation and business goals and initiatives.

Normally requires no instruction on routine work and only general instructions on new assignments.

Outstanding interpersonal skills are required as work contacts may include all levels of company personnel and may be confidential in nature.

Knowledge of company policies, procedures and product lines are also needed to perform the job. Essential Job FunctionsManage VP communications, agenda planning, logistics, meeting facilitation and coordination, and follow-up for management meetings, training and social programs, including international business summits.

Manage all administrative tasks related to organizational operations, national and international travel, internal and external meetings, business trips, trip reports, and communications with clients around the world.

Assist in the budget planning, headcount allocation and goals setting and monitoring processes over the course of each fiscal year.

Serve as liaison to executive committees, other divisions and corporate administration groups, and provide detailed data, information and resources in preparation for meetings.

Perform word processing and moderately complex Excel spreadsheet functions for the VP, including documents that may be complex in nature, and may include graphs, tables, and database retrieval.

Must be able to maintain strict confidentiality of corporate and legal information.

Answer phones, screens calls, and directs calls to VP and/or voicemail.

Greets visitors, maintains visitor log (when required), and arranges taxi or car service for visitors as needed.

RequirementsExcellent project management skills Excellent computer skills including experience with Windows, Advanced Word, Advanced Excel, and Advanced MS Outlook.

Excellent phone voice, verbal and written communication skills; outstanding grammar and spelling a must.

Ability to manage multiple-step procedures and handle frequent interruptions in workflow.

Ability to work in a team environment with a diverse group of technical staff essential.

Minimum 10 years experience as an Administrative Assistant and additional 3-5 years as Executive Assistant.

Work experience in high-tech environment required.

Bachelors of Art/Science or college coursework in business administration or related field preferred.
