Job Description: The candidate will perform a wide variety of clerical tasks in support of the business.

This position is primarily transactional in nature and requires a working knowledge of administrative processes and procedures.

The position demands a high degree of autonomy and latitude in planning, organizing, and decision making to fulfill work requirements.

The Administrative Specialist (AS) will provide accurate, timely, and efficient aid and assistance to the Contracts department by performing general administrative and other matters.

Analyzes and reconciles data; investigates inconsistencies.

Determines and communicates impacts to affected individuals, and initiates and takes corrective action.

Prepares reports and summaries.

The Administrative Specialist will be responsible for assisting contract administrators with communication of contract requirements to Program Management, Finance, Supply Chain Management, Property, and other internal and external customers, as needed, from pre-award through contract closure.

May interface with internal and/or external customers.

In this position, the successful candidate will provide support to contracts administrators at the local facility as well remote support to our out of state facilities.

Primary duties include performing the following daily activities: Data Entry and Electronic Filing: Entry of contract data into a variety of company databases and electronic filing systems Master Contract Setup Form (MCSF)/Contract Brief (CB): Upon contract award and/or receipt of contract modifications, reviews contract and prepares MCSF and CB to flow critical contractual requirements to accounting and other functional organizations Internal Contract Auditing: The administrative team conducts monthly audits to ensure file management compliance Contract Closure: Upon contract completion, the AS perform all necessary tasks to complete contract closure, including contract closeout certifications and coordination of final invoice submittal Archives: Coordinate preparation and shipment of contractual documentation to offsite storage facility Contract Data Requirements List (CDRL) Management : Support contract administrators with submittal of CDRLs General Administrative Duties: Miscellaneous tasks to support contract administrators and management team Required Skills: Knowledge General knowledge and understanding of contract and/or subcontract administration including contract types, delivery terms and data deliverables requirements Must have a working knowledge of Microsoft Office software (Word, Excel, PowerPoint, Access) Ability to prepare charts,tables, memoranda, reports, correspondence, and other materials with speed and accuracy.

Skills/Abilities Excellent planning and organizational skills to systematically coordinate, track, and complete work flow in accordance with the unique guidelines and procedures of multiple entities Analytical skills sufficient to assess and interpret complex information Ability to adapt to changing work requirements and priorities Excellent oral and written communication skills Quick learner, self-starter and detailed oriented Must be able to meet deadlines and prioritize the workload Ability to follow and improve established procedures Must be self-motivated and able to perform efficiently both independently and in a team environment Ability to operate basic office machinery and/or personal computers Ability to establish, maintain, and leverage contacts and professional relationships Must be able to be discreet and maintain confidentiality Desired Skills: Knowledge 6-8 years of of experience and knowledge of current practices associated with filing and tracking systems, allowing efficient and rapid storage and retrieval of information in electronic filing systems Familiarity with the basic FAR, DFAR, ITAR and EAR requirements Knowledge of basic accounting procedures Skills/Abilities Ability to communicate procedures and processes to management, co-workers, and provide guidance on pertinent changes to business functions and operations Advanced Microsoft Office software (Word, Excel and Access) skills Education (including Major): Required : High School diploma or equivalent plus 6-8 years of prior administrative support or comparable experience - preferably in an office environment Desired : Associate Degree in Business, Management, or Legal field Raytheon is an equal opportunity employer and considers qualified applicants for employment without regard to race, color, creed, religion, national origin, sex, sexual orientation, gender identity and expression, age, disability, or Vietnam era, or other eligible veteran status, or any other protected factor.
