Administrative Assistant/Office Manager Job in Silicon Valley/San Jose, California US

We currently have an opportunity for an experienced Administrative Assistant/Office Manager in our Santa Clara offices.
RESPONSIBILITIES Performs administrative duties for SVP Mobility while ensure the smooth operation of the office.
Manages executive's calendar and independently schedules appointments.
Screens incoming calls and correspondence and responds independently when possible.
Responsible for making meeting arrangements, preparing reports and financial data, training and supervising other support staff, and customer relations.
Arranges meetings, events, or conferences by arranging for facilities and necessary tools, issuing information or invitations, coordinating media presentation materials and controlling event budget.
Directs preparation of executive payroll records by submitting payroll exceptions to payroll department.
Prepares and reviews vouchers for executives, ensuring all comply with company expense guidelines.
Composes and prepares confidential correspondence, reports and other complex documents.
Arranges complex and detailed travel plans and itineraries, complies documents for travel-related meetings and coordinates other executive, CEO and board member attendance when requested.
Coaches, trains and counsels employees on attendance, performance and voucher processing.
Maintains and retains office records according to compliance requirements and ensures that confidential documents are kept in a secure location.
Ensures that there is an adequate supply of office equipment and supplies.
First point of contact for facilities issues.
Performs other duties as assigned.
REQUIREMENTS May supervise other administrative staff.
Five or more years of relevant experience in office management, administration, supervision.
Advanced computer and internet research skills along with the ability to train others on system usage.
College degree required Highly organized, tactful, and diplomatic.
Ability to multi-task and manage multiple projects.
Experience in handling customer complaints escalated to executive.
Also calls for flexibility, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors.
