Sales Assistant: Summit Management Corp.
SALES ASSISTANT- Marriott Courtyard-Downtown Memphis JOB RESPONSIBILITIES INCLUDE (but are not limited to) THE FOLLOWING: BOOK GROUP BUSINESS-includes blocking rooms in PMS, doing contracts, proposals, tracing cut-off dates, and sending thank you notes.
PROPOSALS AND CONTRACTS as determined by the Regional Director and Sales Managers COORDINATE MEETINGS AND GROUPS-includes coordinating meeting room set-up, F&B, AV, and outside catering arrangements.
Also includes being the hotel contact for the onsite/offsite meeting contact.
Group resumes (with or without meeting space) should be done weekly and distributed to all supervisors weekly.
Also, handling group billing (includes making billing arrangements, proofing bills for errors, and sending with a thank you note.
CONDUCT SITE TOURS OF THE PROPERTY.
SUPPORTING FRONT DESK (if needed) as it pertains to groups or special accounts such as entering rooming lists in PMS, overseeing pre-blocking and pre- keying rooms for groups.
Assisting with welcome letters and gifts for special accounts, etc., monitoring group reservations, MONTHLY AND WEEKLY SALES REPORTS VRW (group pick-up) and group forecasts weekly.
End of month reports including group production reports.
ACCCOUNTS RECEIVEABLE- Responsible for posting meeting/group charges and sending invoice to clients.
OTHER: Assist DOS, Sales Managers, and GM as needed.
