Accounts Payable Specialist / Administrative Assistant: Dayton Physicians LLC
Summary: The Accounts Payable Specialist / Administrative Assistant performs accounting and clerical tasks related to the efficient maintenance and processing of accounts payable transactions and performs complex administrative support to the Chief Executive Officer and his direct reports including scheduling appointments, gives information to callers, takes dictation, and otherwise relieves officials of clerical work and minor administrative and business details.
Required Education and/ or Experience: The Accounts Payable Specialist / Administrative Assistant position requires a High School Diploma or GED and two (2) years of previous accounts payable experience.
This position requires excellent oral and written communication and a strong working knowledge of Quick Books and Microsoft Office, including Word, Excel, PowerPoint and Outlook.
At least one (1) year experience using a multi line telephone system is required.
Experience in a Medical Practice is preferred.
Essential Duties and Responsibilities: · Reviews invoices and check requests; · Sorts and matches invoices and check requests; · Sets invoices up for payment; · Prepares and processes accounts payable checks, wire transfers and ACH payments; · Prepares analysis of accounts; · Monitors accounts to ensure payments are up to date; · Resolves invoice discrepancies; · Maintains vendor files; · Corresponds with vendors and respond to inquiries; · Analyzes and resolves office administrative and procedural problems; · Prepares reports, presentations, meeting minutes, and other correspondence at the direction of the manager; · Reads and routes incoming mail; · Answers inbound phone calls and routes calls to the appropriate areas; · Coordinates manager's schedule and makes appointments; · Greets scheduled visitors and directs them to the appropriate area or person; · Arranges and coordinates travel schedules and reservations; · Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, and records and transcribes minutes of meetings; · Makes copies of correspondence or other printed materials; · Orders and maintains supplies, and arranges for equipment maintenance; · Follow all health care privacy and safety rules; · Other duties as assigned.
