SENIOR SECRETARY: Civil Service Office of Hillsborough

MAJOR FUNCTION Performs general secretarial duties of a responsible nature, including typing, responding to inquiries, and maintaining records and files.

DISTINGUISHING FEATURES Employees in this class perform general clerical, secretarial and administrative work of more than average difficulty requiring reasonable initiative and independent judgment under general supervision.

May serve as secretary at the section, department, or division level.

MAJOR DUTIES Note: The following duties are illustrative and not exhaustive.

The omission of specific statements of duties does not exclude them from the position if the work is similar, related, or a logical assignment to the position.

Depending on assigned area of responsibility, incumbents in the position may perform some or all of the activities described below.

Types correspondence, articles, reports, manuals, and minutes of meetings, conferences and other official functions.

May take and transcribe dictation.

Opens and distributes mail, assembles material for use by supervisor.

Composes correspondence for supervisor's signature.

Answers inquiries requiring interpretation of organization practices and procedures.

May research records using data processing equipment to obtain information.

Codes, classifies, posts and compiles data and assists in the preparation of statistical analyses and reports.

Maintains office records and files.

Operates various general office machines such as adding machines, calculators, copy machines, collators, decollators, telephones, and specialized dictation equipment.

Performs basic operations on word processors, personal computers and mainframe terminals.

Oversees the work of temporary or lower level clerical staff as required.

Accesses materials of a confidential nature, generally limited to typing and filing, as required.

Serves as supervisor's representative to other staff, officials and the general public.

Performs other related duties as required.

KNOWLEDGE, SKILLS, & ABILITIES Working knowledge of departmental policies and procedures.

Working knowledge of office practices, procedures, equipment and materials.

Working knowledge of English grammar, punctuation and spelling.

Working knowledge of the operation of word processing and data processing equipment.

Ability to organize and maintain files and records.

May require ability to take and transcribe dictation, rapidly and accurately, using stenography or dictating and transcribing equipment.

Ability to type.

MINIMUM QUALIFICATIONS Note: Minimum Qualifications MUST be attained before the recruitment ending date.

Graduation from high school or possession of a GED certificate; andTwo years of secretarial experience; andA passing score on a written test; and40 net words per minute on a typing test.

ORAn Associate's Degree from an accredited college or university with a major in Secretarial Science; andOne year of secretarial experience; andA passing score on a written test; and40 net words per minute on a typing test.

ORGraduation from high school or possession of a GED Certificate; andSuccessful completion of an accredited secretarial or business and office technology training program; andOne year of secretarial experience; andA passing score on a written test; and40 net words per minute on a typing test.
