Admin Coordinator - Job Share (22 Hrs/week)

This is a job share working 22 hours/three days per week.

Minimum Requirements -Minimum of 3 years experience in an administrative role -High School diploma or equivalent -Excellent administrative, interpersonal, time management and organizational skills -Working knowledge of Word, Excel, PowerPoint and Outlook -Working knowledge of search engines, Intranet and Internet Required Core Competencies -Ability to work independently, take initiative and respond to rapidly changing priorities -Detail oriented -Sound judgment -Flexibility -Ability to multi-task -Strong communication skills -Highly motivated team member -Diplomacy skills Preferred Background -Working knowledge of AstraZeneca policies and procedures -Working knowledge of the drug development process -Previous experience working in the pharmaceutical industry -Negotiation skills -Knowledge of FDA or Regulatory policies and procedures Internal and External Contacts/Customers -FDA -External Vendors -Courier Services -Human Resources -Facilities Responsibilities Description: The Administrative Coordinator performs a variety of administrative duties and project-oriented activities within Regulatory Affairs Major Responsibilities: -Provides continuous improvement of process and tools -Greets visitors and accommodates visitor requirements -Executes business objectives -Provides general administrative support to Skill Center and/or Brand Team (eg copying, binder assembly, provides back-up support for peers) -Coordinates logistics with Facilities (eg work orders, ISURF) -Coordinates travel arrangements -Distributes and handles mail -Manages files (electronic and hard copy) -Manage calendar(s) via Outlook for individual or team -Plans and coordinates internal and external meetings (eg Web-based, teleconference, videoconference) -Assists in presentation development -Provide professional point of contact linking department to internal and external requests -Maintains a working knowledge of Functional Area policies and procedures -Maintains a general knowledge of AstraZeneca policies and procedures -Administers time reporting systems and attendance records, as required -Process records or documents in accordance with prescribed procedures -Prepares and maintains documents, spreadsheets and databases to agreed standards -Review, process and resolve invoices and other financial administration (eg AZER, SAP, budgets, P-Card, ez-Buy) -Coordinates and arranges internal and external interviews, as needed (eg WebRecruiter) -Document, prepare and distribute meeting minutes and supporting documents, as required -Liaise with global colleagues -Manages confidential and/or sensitive information appropriately -Collaborates with team members on special projects -Triage incoming calls, correspondence and e-mails for individual and/or team -Acts as a central point of contact -Special projects as assigned Regulatory Affairs Brand Team Specific Responsibilities -Maintain Regulatory Team distribution lists -Perform quality check of Regulatory forms -Arrange and coordinate logistics for Advisory Committee Meetings and FDA Face-to-Face Meetings for US and Global team members -Submit and retrieve documents from GEL. -Partner with peers in Commercial, Clinical and Marketin.
