Responsibilities The Administrative Assistant provides support to the office of HIV/AIDS Network Coordination (HANC).

Planning conference calls, providing agendas, taking minutes and facilitating the development of written objectives and plans for multiple cross-Network committees and working groups is a primary function of this job. The Administrative Assistant will also be responsible for scheduling and maintaining the daily activities and correspondence of Dr. Kublin, including the organization of records, training materials, and electronic files.

Excellent communication skills are required.

Command of Word, Excel, Outlook, PowerPoint, and Reference Manager along with an aptitude for learning new tools is important to supporting the organizational needs of this office.

The successful candidate will be a self-starter with the ability to work independently.

Responsibilities are as follows

1. Providing administrative support to the HANC office and the Project Coordinator: • Planning coordination for meetings and conference calls; • Minute-taking for multiple conference calls and meetings on a regular and ad-hoc basis; • Interacting with scientific and operational staff across the Networks, community advocates, government officials and funding agencies; • Maintaining and updating databases for tracking training and other materials; • Maintaining coordination documents electronically and in paper systems; • Coordinating special projects and perform other duties as assigned.

2. Providing administrative support to the head of coordination efforts, Dr. James Kublin: • Maintaining Dr. Kublin's meeting/conference calendar and keeping him appraised of appointments; • Arranging domestic and international travel and travel reimbursements; • Preparing materials for meetings/conference calls; • Assisting with the development of scientific slide presentations and drafting correspondence; • Performing medical literature searches and assisting with preparation of manuscripts.

Qualifications • Bachelor's degree and minimum of three years progressively complex administrative or executive support experience.

Additional experience may substitute for the educational requirement.

• Minimum typing speed of 65 WPM. • Excellent verbal and written communication skills.

• Ability to professionally represent the HANC office to external and internal contacts.

• Fast paced position requires both multitasking and high attention to detail.

• Must be experienced and fully competent in Microsoft Office, especially Word, Outlook, Excel and PowerPoint.

Access skills preferred for special projects.

• Positive attitude, ability to work in close team, innovation, sense of humor, punctuality, service-orientation and confidentiality.

• Ability to organize multiple projects simultaneously and maintain high quality work.

• Prior experience with medical terminology, scientific or academic environment a plus.
