Job Description: Under little supervision, performs diverse and complex secretarial and administrative duties for a Vice President or General Manager.

Responsibilities include communicating with senior management to convey information, collect data, or coordinate administrative details for management.

PRINCIPAL RESPONSIBILITIES AND DUTIES

1. Answers telephones, takes messages, forwards information to appropriate personnel.

Screens calls, redirecting calls to subordinate managers or staff.

Handles Audix and e mail as needed.

Opens, sort and distributes mail.

Sends outgoing mail using appropriate mail service.

Distributes requests for information, tracks progress and follows up on actions taken.

Orders office supplies.

Sorts and files correspondence and other documents in filing system.

2. Completes typing and word processing assignments that may be of a confidential nature and include correspondence, forms, tables, proposals, and somewhat complex reports, using proper grammar and punctuation.

Operates office equipment such as typewriters, word processors, computer software packages, fax machines and photocopiers to complete assignments.

Updates manuals, reports and spreadsheets.

May take notes (or dictation) during meetings and produce minutes.

Tracks and enters Time and Attendance.

Actively participates in orienting and assuring training for new unit members.

3. Arranges meetings and schedules appointments and follows up with all levels to ensure accuracy of executive's calendar.

Arranges and coordinates large conferences, special dinners or lunches and retirement parties.

Coordinates travel arrangements.

4. Fulfills company quality initiatives.

5. May provide guidance and direction to lower level secretaries and clerical employees.

Holds regular meetings to relay pertinent administrative information.

May also delegate projects to lower level secretaries.

May offer solutions to business problems.

Reviews telephone and corporate card reports and alerts manager of possible misuse.

Assists with conducting interviews for lower level secretarial positions.

Compiles and updates disaster recovery information for department.

Composes responses to inquiries and directs to appropriate personnel.

Coordinates internal moves and office reconfigurations for department, including new employee set up for phone, PC, furniture and supplies.

Tracks department budget and reconcile questionable charges by completing voucher requests and reclassifications.

Takes complete ownership of specific, ongoing projects, independent of manager.

Uses initiative to ensure matters pending response of VP are completed in a timely fashion.

SKILLS Required: A high school diploma or equivalent skills.

Some college course work desirable.

Five years of secretarial experience.

Typing skills to complete required assignments.

Business knowledge which includes knowledge of organizational policies and general business procedures.

Proficiency in word processing and spreadsheet software (i.

e., AmiPro, Word Perfect, Microsoft Word, Lotus 123, Excel, etc).

Good verbal and written communication skills.
